Certified coffee with documentation tied to the physical lot

A general sustainability claim is not enough for an importer, retailer or certified coffee programme. The coffee, producer group, transaction certificate and packing list need to refer to the same physical lot.

Before issuing an offer, we confirm:

  • Which certification scheme the lot carries
  • Certificate validity and available certified volume
  • Producer group and origin
  • Grade, screen retention, moisture and cup score
  • Green or roasted format
  • Minimum order and shipping window
  • Documents required by the destination market

  • Certification status is stated on the quotation and confirmed again before shipment. If a lot cannot support the required claim and document chain, it is not quoted as certified.

Organic, Fairtrade or both?

Organic and Fairtrade are separate certification requirements. Tell us whether your programme needs:

  • Organic certification for the EU
  • Organic certification for the United States under NOP
  • Fairtrade certification
  • A lot carrying both Organic and Fairtrade certification
  • Certified green coffee for roasting at destination
  • Certified roasted coffee packed for retail or horeca

  • We will check the requirement against the current physical lot and document availability. Certified volume is finite and should be reserved before the relevant harvest allocation is fully committed.

Every certified offer identifies the coffee commercially and physically, rather than giving you a certification logo without the underlying lot data.

  • For green coffee, the signed grading sheet travels with the shipment. Certification transaction documents are matched to the lot stated on the packing list.

From enquiry to shipment

    Send the requirement

    Tell us whether you need Organic, Fairtrade or both, together with the product format, approximate volume, destination and target shipping month.

  2. 02

    Receive the certified offer

    We reply with the available lot, specification, certification status, minimum order, price basis, lead time and sample-dispatch timing.

  3. 03

    Approve the coffee

    Green samples are sent at 300 g per lot with the grading sheet and cup score. Contract-roasted buyers approve the roast profile before production.

  4. 04

    Reserve the certified volume

    The selected lot, grade, certification and volume are written into the contract. For a repeat programme, volume can be allocated against an agreed shipment schedule.

  5. 05

    Verify before shipment

    The pre-shipment sample is checked against the approved offer sample. Lot details, grading records and certification documents are then matched to the shipment paperwork.

The shipment stays tied to the coffee you approved

Every offered lot is graded and cupped in Jakarta before contract. We retain a sealed sample for the life of the contract and can compare the pre-shipment sample with the coffee originally approved.

The offer sheet publishes the measurable specification:

  • Full defect count
  • SNI grade
  • Screen retention
  • Moisture
  • Cup score
  • Lot identity

  • That gives your quality team a defined coffee to approve and your documentation team a defined physical lot against which to check the certification paperwork.

Export and certification document pack

Documents are assembled according to the destination and agreed incoterm. Depending on the shipment, the pack can include:

  • Certificate of origin
  • Phytosanitary certificate
  • Bill of lading
  • Loading photographs
  • Organic or Fairtrade transaction documentation
  • Producer-group and growing-area information

  • Confirm your importer’s document checklist during the enquiry. Requirements added after the container has been packed may be difficult to reconstruct.

Is every Kintamani coffee automatically Organic and Fairtrade?

No. Kintamani includes certified and non-certified physical volume. We confirm the certification scheme, grade and available quantity for the specific lot before quoting it as certified.

Can I request Organic without Fairtrade, or Fairtrade without Organic?

Yes. They are separate schemes. State whether you require Organic, Fairtrade or dual-certified coffee so we can check the correct physical allocation.

What is the minimum order for certified green coffee?

Bali green lots generally start at 9.6 MT, equivalent to half of a 20-foot container. The minimum applies to the contracted lot and grade. Certified availability is confirmed before the offer is issued.

What is the minimum order for certified roasted coffee?

Private-label programmes generally start at 500 kg per roast profile on Kintamani arabica. Packaging, certification scope and the number of profiles can affect the final production minimum.

Can our retail packaging carry an Organic or Fairtrade mark?

Only when the physical coffee, supply chain and proposed packaging meet the relevant scheme requirements. Mark usage and destination-specific label content must be cleared before packaging is printed.

Can we approve samples before contracting?

Yes. We dispatch 300 g green samples with the grading sheet and cup score. Roasted buyers approve a sample profile before production. Sample courier cost is credited against the first contract.

How quickly will we receive an offer?

Send the required certification, green or roasted format, approximate volume, destination and target shipment date. The Jakarta desk normally replies within one business day.

Can certified coffee be supplied on a recurring schedule?

Subject to harvest allocation, certified volume can be reserved for scheduled releases. It is better to contract certified requirements before the harvest allocation is fully committed rather than rely on spot availability.
